Privacy Policy

Last updated: September 30, 2026

This Privacy Policy explains how appsworker ("we", "us") collects, uses and protects personal information when you use this website, the Gym Sphere gym management system and its mobile app. By using our Services you agree to this policy.

1. Information we collect

  • Account information: the name, business name, phone number, email address and address of gym owners and staff who use Gym Sphere.
  • Gym member information: details that gyms enter about their members, such as name, NIC, phone number, date of birth, photo, payments, attendance, measurements and fingerprint device IDs. Gyms control this data; we store and process it on their behalf.
  • Payment information: the amount, date and status of payments made to us. Card details are entered on our payment service provider's (PayHere) secure page; we do not see or store full card numbers.
  • Usage information: technical information such as IP address, browser type and the pages you visit, used to keep the system secure and working.

2. How we use information

  • To provide, operate and support Gym Sphere.
  • To process payments and send invoices and receipts.
  • To send SMS messages that gyms have enabled, such as welcome messages, payment reminders, payment confirmations and daily revenue summaries.
  • To contact you about your account, service updates and support requests.
  • To keep the Services secure and to prevent fraud or misuse.

We do not sell personal information.

3. Sharing information

We share information only when needed to provide the Services:

  • Payment service provider (PayHere) to process payments;
  • SMS gateway providers to deliver SMS messages;
  • Hosting providers that store our system and data; and
  • Authorities, when required by law.

4. Data security

We protect information using encrypted connections (HTTPS), password-protected accounts with role-based access, and restricted access to our servers. No system is completely secure, but we work to protect your information and will inform affected customers if a serious data breach occurs.

5. Cookies

Our website and system use essential cookies to keep you signed in and to protect forms against misuse. We may also use analytics cookies to understand how the website is used. You can block cookies in your browser, but you may not be able to sign in without them.

6. Data retention

We keep data while your subscription is active and as needed to meet legal and accounting requirements. When a gym stops using Gym Sphere, it may ask us to export or delete its data.

7. Your rights

You may ask us to access, correct or delete your personal information. If you are a gym member, please contact your gym first, as the gym controls your member data; we will help the gym with your request.

8. Children

Our Services are intended for businesses and are not directed at children. Gyms are responsible for having consent from a parent or guardian before entering details of members under 18.

9. Changes to this policy

We may update this policy from time to time. The updated version will be posted on this page with a new "Last updated" date.
